Xero vs QuickBooks: unlimited users or the deepest payroll and tax tools
Xero is cloud accounting used by millions of small businesses worldwide. It handles bank reconciliation with AI-assisted matching, unlimited invoices and quotes with online payments, project time and cost tracking, and multi-currency on higher plans. More than a thousand apps connect through the Xero App Store, and plans do not cap the number of users.
QuickBooks Online, from Intuit, covers the same core: invoicing with reminders, bank and card feeds, receipt capture and mileage from the mobile app, cash flow dashboards and free access for your accountant. Its own QuickBooks Payroll plugs straight in. Plans set a user limit, from one user on the entry plan up to twenty-five on Advanced.
The real difference: Xero scales by people at no extra cost, while QuickBooks wins on payroll and tax depth.

Our verdict
Xero leads for most readers because it grows with a team without forcing an upgrade. Every plan allows unlimited users, so a bookkeeper, a partner and a project manager can all log in. Its reconciliation is fast, its app store is large, and project tracking and multi-currency make it a natural fit for agencies, contractors and businesses that trade across borders. Accountants in many countries already know it well.
QuickBooks is the better choice if you want payroll from the same company as your books, or if your accountant works mainly in QuickBooks, which is common in the US and UK. Receipt capture, mileage tracking and tax-focused expense categories are strong, and the Advanced plan suits larger teams that need more control.
Both offer a free trial. Bring a month of real transactions to each and ask your accountant which they prefer; the software they already use often saves the most time.
