PandaDoc is a document platform for sales teams. You build a proposal or quote from a template, pull deal and product data in from a CRM such as HubSpot or Salesforce, collect the signature and take payment in the same document through gateways including Stripe, PayPal, Square and QuickBooks Payments. Every completed document carries a Certificate of Completion with signer names, verified emails, IP addresses and timestamps.

SignNow, from airSlate, is an eSignature tool first. You upload a document, add fields, and send it to one or many signers with reusable templates, conditional fields and role-based routing. It has native iOS and Android apps that can sign offline, and plans that do not charge per user.

Both state compliance with the US ESIGN Act and UETA, and both support eIDAS. The real difference is scope: PandaDoc creates the document and closes the deal, while SignNow gets an existing document signed.

Our verdict

PandaDoc leads for most readers because most people shopping for eSignature software are sending something they wrote: a proposal, a quote, a contract. PandaDoc handles that whole path in one place. Pricing tables fill from CRM deal data, and the signature and the payment happen in the same document. For eIDAS work it supports simple, advanced and qualified signatures, the last through qualified trust service providers.

Choose SignNow if your documents already exist and you just need them signed, quickly and by lots of people. Its flat, team-wide approach suits a business with many occasional senders, its mobile apps let field staff sign without a signal, and it lists HIPAA, SOC 2 Type II and 21 CFR Part 11 among its compliance credentials, which matters in healthcare and life sciences.

Neither replaces advice on whether a specific document can be signed electronically where you are; some document types are excluded by law, so check with a qualified adviser for anything unusual.
