Our verdict
This Wing Assistant review covers a managed virtual assistant service. Instead of handing you a marketplace of freelancers to interview and supervise, Wing matches you with a dedicated assistant, gives you a workspace app to delegate through, keeps a Customer Success Manager on your account and replaces the assistant if the fit is wrong. For a business owner or small team that wants recurring admin, sales support or customer service taken off their plate without becoming a manager of remote staff, that model is the strongest in our ranking, and it is why Wing sits first.
It is not the right buy for everyone. Plans are monthly commitments sized in blocks of hours, the onboarding deposit is non-refundable, cancellation needs ten days' notice, and Wing itself says it is not a fit if you only need one-off help or are mainly looking for the cheapest labour. Client feedback on public review sites is also more mixed than Wing's own marketing suggests. If your workload is steady and recurring and you read the terms first, it is very good at what it does.
What is Wing Assistant and who is it for?
Wing (the trading name of Wing AI Technologies, Inc., which lists its address on Shattuck Avenue in Berkeley, California) matches each client with a dedicated assistant selected for their role, tools and industry. The assistant works inside your existing tools and through the Wing Workspace app, while Wing's account team handles onboarding, quality checks and cover. Wing says it screens more than two million applicants a year, offers 155 specialist roles across 27 industries, and that an assistant can be live within 48 hours.
Wing's own pages are refreshingly clear about who it suits. It says it is built for teams that want work owned without micromanagement and want to scale operations without adding headcount, and that it is not a fit if you only need one-off or short-term help, prefer to manage freelancers directly, or are primarily looking for the lowest-cost option. In practice that means:
- Founders and executives who want inbox, calendar, travel and follow-ups handled.
- Small businesses with recurring admin: data entry, CRM upkeep, invoice follow-up, document preparation.
- Sales teams that want lead research, CRM hygiene, outreach or appointment setting.
- Customer service functions that need email, chat or phone cover.
- Industry teams in real estate, healthcare administration, legal intake and e-commerce, where Wing offers role-specific assistants.
Key features
A dedicated assistant with an account team behind them
Each client gets a dedicated assistant rather than whoever is free in a shared pool. Behind the assistant sits a Customer Success Manager and an operations team. Wing describes a backup and coverage layer so work continues when your assistant is away, and it documents the context of your account so a replacement can pick up without starting from scratch. Wing's FAQ says assistants are typically college-educated, fluent English speakers who go through vetting, training and testing, and are supervised by operations managers.
Free replacement
Both published plans include free replacement. Wing's How It Works page says that if an assistant is not the right fit, your Success Manager replaces them within 24 hours, and the new person is briefed from the documented context Wing keeps on your account. Note that you do not pick from a shortlist: Wing chooses the match, which suits people who want delegation done for them and frustrates people who want to interview candidates.
Wing Workspace app
Delegation runs through Wing Workspace, which Wing describes as a human plus AI workspace with task visibility, status tracking, documented workflows and approval steps for anything client-facing. Alongside the web version there are mobile and desktop apps. Wing says communication is also possible through Slack, a dedicated phone number and email, and that work is completed and checked by a human assistant even where AI helps.
Works in your tools
Wing says its assistants work in the software teams already use, naming Slack, HubSpot, ClickUp, Asana, Notion, Google Workspace, Salesforce and QuickBooks among others. You do not have to move your workflow into a new system.
Hours, time zones and language
Plans are sized in hours per month, and the pricing page says your assistant works in your time zone at the hours you choose. Wing's FAQ describes the default as one solid daily working block and lists extended coverage patterns, up to around the clock, as something to arrange with sales. Wing is available worldwide, but its FAQ states that assistants communicate with you and third parties in English. If you need another language, you have to raise it with sales first.
How much does Wing Assistant cost?
Current prices are shown on this page from our own data. Wing's published structure for a General Virtual Assistant is simple:
- Part-Time: 80 hours a month with a dedicated assistant, account management, the Workspace app, free replacement and a 10 GB file storage limit.
- Full-Time: 160 hours a month with the same management layer and unlimited file storage, at a lower effective hourly rate than Part-Time.
Specialist roles (sales development, bookkeeping support, healthcare administration, marketing and others) and multi-assistant teams are quoted after a consultation. Wing's terms describe several billing rules you should read before signing:
- A deposit is paid at the start to cover sourcing and matching. It counts towards your plan price but is non-refundable; the terms say a refund may be considered only if Wing has failed to provide an assistant within 31 calendar days.
- Subscriptions renew automatically every month. To cancel you must notify your Customer Success Manager at least 10 calendar days before the renewal date, or the next month is charged.
- Your subscription starts on the agreed start date whether or not you are ready to delegate, so pick that date carefully.
- The terms state that charges are non-refundable, and that opening a dispute or chargeback suspends service until it is resolved.
- The terms add a monthly card processing fee from the second month where bank transfer is available, and the FAQ mentions a small discount for a three-month agreement.
Unused hours do not roll over, as the independent write-up at Technology.org points out, so size the plan to the work you genuinely have.
Is Wing Assistant safe to give access to your accounts?
Handing someone access to your inbox, CRM or accounts is the biggest decision with any virtual assistant, so this section matters. Wing says it is SOC 2 certified, ISO 27001 compliant and HIPAA compliant, and that assistants work on managed devices or virtual desktops with full audit trails. According to its How It Works page, credentials are shared through managed encrypted systems rather than email or chat, access is scoped to what your assistant needs and revoked within 24 hours if you leave, and every engagement includes NDA coverage.
Its FAQ adds detail: card details are held by Stripe, purchases on your behalf are made with single-use virtual cards, and credentials are stored in Google Cloud Secret Manager and encrypted in transit and at rest. Wing also publishes a Zero Tolerance Policy listing services it will not perform.
Read the terms alongside the marketing, though. They say clients are responsible for evaluating the assistants they work with before granting access to accounts, funds or confidential information, and that Wing does not guarantee an assistant's performance. Good practice applies on your side: give the assistant its own login wherever a tool allows it, use role-based permissions, and keep payment authority behind an approval step.
What could be better
- Commitment and refund terms. A non-refundable deposit, non-refundable charges and a ten-day cancellation notice period are stricter than a pay-as-you-go freelancer platform. Put the renewal date in your calendar.
- Minimum size. The smallest published plan is 80 hours a month. If you only have a few hours of work a week, you will pay for time you do not use.
- Results vary by assistant. Public client reviews include excellent placements and poor ones, with ramp-up time and follow-up from the account team as the recurring complaints.
- English only by default. Other languages need a conversation with sales.
- Pages that disagree with each other. Parts of Wing's FAQ still describe an older Basic and Pro plan line-up and call assistants full-time employees, while the current terms describe Wing as a platform giving access to personnel sourced and employed by independent third-party providers, and say Wing does not supervise their day-to-day duties. If the arrangement matters to your business, ask Wing to confirm it in your contract and take advice from a qualified professional; we do not offer employment guidance here.
- Specialist pricing is not published. Anything beyond a general assistant needs a sales call.
Who should choose something else
- One-off projects: a freelance marketplace lets you hire for a single job without a monthly commitment.
- Very light or variable workloads: a few hours a month is better served by an hourly or pay-per-task assistant service.
- People who want to choose their hire: if you want to interview several candidates and manage directly, a direct hire or marketplace gives you more control.
- Work that needs a licensed professional: bookkeeping support is not accountancy, and legal intake is not legal advice. Use a qualified professional for regulated work.
What other reviewers found
Wing has not been reviewed by the large technology publications, so the independent picture comes from client review platforms and smaller outlets.
- Trustpilot reviewers are split: many praise professional, dependable assistants and a quick matching process, while a sizeable minority describe slow replies to billing questions, credits that were promised and not applied, and difficulty recovering deposits.
- Several Trustpilot clients also said their assistant needed more training from them than they expected, and one four-star reviewer mentioned turnover among candidates early on.
- GoodFirms, which verifies the reviews it publishes, carries a small set of uniformly positive client reviews that credit responsive communication, supervision from the Wing team and a replacement when the first assistant did not fit.
- Technology.org judged the managed model and predictable monthly billing to be the main attractions, but flagged that you cannot choose your assistant, unused hours are lost and the service is not unlimited despite how it is sometimes described.
Where they agree: the best placements save owners real time, and the Customer Success layer and replacement promise are what separate Wing from a freelancer site. Everyone also agrees the fixed monthly commitment only pays off with a steady workload.
Where they disagree: on how much management the service really provides in practice. Satisfied clients describe supervision and quick fixes; unhappy ones describe training the assistant themselves and chasing their account manager. That gap matches the gap between Wing's marketing and its terms, which put responsibility for vetting on the client.
What it means for a buyer: treat the first month as a trial you are paying for. Write down the tasks, tools and standards before the start date, check in weekly with your Success Manager, use the free replacement early if the fit is wrong, and give notice in good time if it is not working.
Is Wing Assistant worth it?
Wing Assistant earns the top spot in our virtual assistant ranking because it takes away the part of delegation most people find hardest: finding the person and keeping the work going when things change. A dedicated assistant, an account manager who handles replacement, backup cover, a workspace that shows what is happening, and a published security programme make it a sound way for a busy team to hand over recurring work. Read the terms on deposits, renewals and cancellation before you start, choose Part-Time or Full-Time based on the hours you genuinely have, and it is the service we would recommend first.
Frequently asked questions
How does Wing Assistant work?
You book a short call, describe the work and the tools you use, and Wing matches you with one dedicated assistant selected for that role and industry. Wing says the assistant can be working within 48 hours. You delegate through the Wing Workspace app, Slack or email, and a Customer Success Manager oversees the account, arranges cover and replaces the assistant if the fit is wrong.
Can I choose or interview my assistant?
Not in the usual way. Wing selects the assistant it thinks fits your role, tools and industry rather than showing you a pool of candidates, which is part of what makes it quick to start. If the match does not work, Wing says your Success Manager will replace the assistant within 24 hours and brief the new person from the notes it keeps on your account.
Can I cancel Wing Assistant at any time?
Subscriptions renew monthly and you can stop them, but timing matters. Wing's terms require notice to your Customer Success Manager at least ten calendar days before the renewal date, otherwise the next month is charged. The initial deposit is non-refundable unless Wing fails to provide an assistant within 31 days, and the terms describe charges as non-refundable, so read them before signing.
Is my data safe with a Wing assistant?
Wing says it is SOC 2 certified, ISO 27001 compliant and HIPAA compliant, that assistants work on managed devices with audit trails, and that credentials go through encrypted systems rather than email. Access is scoped and revoked within 24 hours if you leave. Its terms still make clients responsible for vetting assistants, so give separate logins and limit permissions to what each task needs.
What tasks can a Wing assistant handle?
Wing lists 155 specialist roles, covering executive support such as inbox, calendar and travel, customer service by email, chat or phone, sales tasks like lead research and CRM upkeep, marketing support, and industry roles in real estate, healthcare administration and e-commerce. Regulated work such as accountancy or legal advice still belongs with a qualified professional, not a virtual assistant.
