This Fathom review covers one of the most widely used AI meeting note takers, and the one most often recommended to people who want a capable tool without paying. Fathom joins your video calls, records and transcribes them, and produces a summary within moments of the call ending. Its free plan is unusually generous: the pricing page promises unlimited recordings and transcriptions for individuals, forever. Paid plans add sharper AI summaries, action items, a meeting assistant you can question, team workspaces and CRM syncing for sales teams. We have not run Fathom on our own calls for this piece; it is an editorial assessment built from Fathom's pricing, privacy and help pages and from what independent reviewers have published.
Our verdict
Fathom is the easiest recommendation in its category for individuals and small teams. The free plan covers what most people need from a note taker, the interface is simple, and summaries arrive fast. Independent reviewers repeatedly name it the best free option they have looked at, and our ranking awards it Best Free Plan for that reason.
It is not perfect. Fathom works with three video platforms, Zoom, Google Meet and Microsoft Teams, and is built around live calls, so it is a weaker fit if you need to transcribe uploaded recordings or in-person conversations. Its native integration list is shorter than some rivals, and advanced features such as conversation analytics sit behind paid team tiers with a two-seat minimum. Read its privacy terms carefully before recording sensitive calls, because the policy allows de-identified data to be used to train Fathom's in-house models unless you opt out.
What is Fathom and who is it for?
Fathom is an AI note taker for video meetings. Its homepage says it is used at more than 300,000 companies and lists Zoom, Google Meet and Microsoft Teams as supported platforms. By default a recording bot joins the meeting; Fathom now also offers a bot-free capture mode, labelled a beta and currently for Mac, for people who would rather not have a visible bot in the call.
The product serves three audiences. Individuals use the free plan to stop taking notes by hand. Small teams use the Team plan to share recordings, clips and folders. Sales and customer success teams use the Business plan for CRM field syncing, deal summaries and coaching scorecards. Zapier's comparison describes it as particularly valuable for sales and customer success teams that want conversation intelligence without paying per AI credit.
Key features
Recording, transcription and instant summaries
Every plan, including Free, records and transcribes calls without a cap on how many meetings you capture, according to the pricing page. Fathom produces a summary straight after the call, and its homepage pitches accurate transcripts, instant summaries and action items as the core of the product. Independent reviewers report transcription accuracy in a broad, good-but-not-perfect range, and you can edit transcripts by hand where names or jargon come out wrong.
Clips, highlights and playlists
You can cut short clips from a call and gather them into playlists, which is useful for sharing a customer's exact words with product or engineering teams. The Free plan includes clips and playlists for your own meetings; team-wide playlists come with the Team tier.
Ask Fathom
Ask Fathom is a chat interface over your meetings. On a single call you can ask what was agreed or what objections came up. Account-wide Ask Fathom, which searches across all your calls, is in beta and has a longer lookback on paid tiers. Free users get limited use.
Advanced summaries and templates
Paid plans add advanced summaries and action items. Fathom says you can choose from more than 15 meeting templates, including sales frameworks such as BANT and Sandler, and Business customers can build custom summary templates.
Team and sales features
The Team plan adds global search across team calls, shared folders, comments and keyword alerts. Business adds CRM field sync, which writes meeting insights into specific HubSpot or Salesforce fields, a Deal View that gathers every call and summary for a deal, and coaching metrics with AI scorecards. Trackers can flag moments such as competitor mentions or feature requests across future calls and route them to Slack or email.
Integrations and API
Fathom integrates with Slack, Salesforce, HubSpot, Asana, Notion and others, plus Zapier and Make for automation. It now offers integrations with ChatGPT and Claude so you can bring meeting context into those assistants, and a public API and MCP server for developers. Zapier's comparison counts roughly 30 native integrations, fewer than some competitors, though automation platforms fill most gaps.
How much does Fathom cost?
Our page shows current prices from our own data; here is how the plans are structured. Fathom splits pricing into individual and team plans. Individuals choose between Free, which is free forever, and Premium, which adds advanced summaries, action items, the conversational assistant and a custom meeting bot. Teams choose between Team, Business and Enterprise. Team and Business are priced per user with a two-user minimum, and annual billing is cheaper than monthly. Enterprise is quoted and adds SSO, SCIM provisioning, custom data retention, organisation-wide security controls and a dedicated success manager.
Fathom advertises a 90-day guarantee on paid plans and runs programmes for nonprofits, startups backed by selected investors, and teams switching from other conversation intelligence tools. Unlike some rivals, Fathom does not ration its AI features with a credit system, a point Zapier highlights as a practical advantage.
Is Fathom safe?
Fathom's help centre states that it is HIPAA, SOC 2 Type II and GDPR compliant and that it has passed security reviews by Zoom. It says customer data is stored in the United States, that it does not sell data, and that its AI sub-processors, which it names as Anthropic, OpenAI and Google, are contractually barred from training on users' data. When an account is deleted, the help article says recordings and metadata are removed and backups are cleared within a week.
There is a nuance worth reading for yourself. Fathom's privacy policy says it may create de-identified data from meeting content and use it to train and improve its own in-house AI models, and that you can opt out in account settings. That is a reasonable policy and the opt-out is clear, but anyone recording client, patient or legal conversations should switch it off and check whether their organisation needs a signed business associate agreement. It is also good practice, and in many places a legal requirement, to tell participants a call is being recorded.
What could be better
- Only three video platforms. Zoom, Google Meet and Microsoft Teams are covered. Webex users and people who need phone or in-person transcription should look elsewhere.
- No uploads. Reviewers note Fathom works on live meetings and does not process pre-recorded audio or video files you upload.
- Bot visibility. The default bot joins the call, which some participants find intrusive. Bot-free capture exists but is a Mac beta.
- Summaries can be formal. A competitor's review found summaries rigid in tone and occasionally poor at separating agenda items in structured calls.
- Two-seat minimum for teams. Small teams of exactly one admin plus occasional users may find the minimum awkward.
Who should choose something else?
If you mainly need to transcribe recordings after the fact, such as interviews or lectures, a tool that accepts uploads will serve you better. If you run large revenue teams and need deep pipeline analytics and forecasting, a dedicated revenue intelligence platform goes further than Fathom's Business tier. If your organisation already pays for a video platform with a built-in AI companion, try that first: for basic summaries of internal meetings it may be enough. And if company policy prohibits third-party recording bots, confirm whether bot-free capture is available on your setup before committing.
What other reviewers found
- Zapier praised the simple interface, the free plan with unlimited recording and summaries, and the absence of an AI credit system, but noted Fathom supports only three video platforms and has far fewer native integrations than Fireflies.
- Unite.AI called it a strong assistant for people in back-to-back meetings, while flagging that it cannot process pre-recorded files and that the meeting bot can feel intrusive.
- Work-Management.org scored it 9.1 out of 10, singling out the free plan and the HubSpot and Salesforce integrations, while noting advanced AI features need a paid plan and bot-free capture depends on your device setup.
- tl;dv, which sells a competing note taker, found Fathom reliable and accurate with accented speakers but described its summaries as rigid and its admin features thin for larger organisations.
Where the reviewers agree and disagree
Every outlet agrees on the free plan: it is the most generous in the category and the main reason to choose Fathom. They also agree that Fathom is built for live video calls on the three big platforms, and that it does not handle uploaded recordings.
They disagree on depth. Work-Management.org and Zapier see the paid tiers as a serious option for sales and customer success teams, while tl;dv judges the summaries and admin controls too basic. Some of that is bias, since tl;dv competes directly, but the point about enterprise administration is echoed elsewhere. For a buyer, the conclusion is straightforward: start on the free plan, and only upgrade if your team actually needs shared libraries, CRM field sync or coaching metrics.
Is Fathom worth it?
For individuals, the answer is easy because the core product costs nothing. For teams, Fathom's paid plans are worth it when shared recordings, search across the team's calls and CRM updates save real admin time. Sales teams that want call coaching without the cost of a full revenue intelligence suite will find Business a sensible middle ground. Teams that only want a summary in their inbox after each meeting can stay on Free indefinitely.
Bottom line
Fathom does the basic job of an AI note taker very well and gives the most away for free. Its limits are clear: three video platforms, live calls only and a smaller integration list than some rivals. Before recording sensitive meetings, review the privacy settings, opt out of model training if that matters to you, and make sure everyone on the call knows they are being recorded.
Frequently asked questions
Is Fathom really free?
Yes. Fathom's pricing page lists a Free plan for individuals described as free forever, with unlimited recordings and transcriptions, instant AI summaries, clips, playlists and search across your own calls. Some features, including advanced summaries, AI action items and full use of Ask Fathom, need a paid plan. Team features such as shared folders and global search start with the Team plan.
Does Fathom work with Zoom, Google Meet and Teams?
Yes. Fathom supports Zoom, Google Meet and Microsoft Teams, and those three are the only video platforms it covers, according to independent comparisons. By default a recording bot joins the call. Fathom also offers bot-free capture, currently a beta for Mac. It does not transcribe uploaded audio or video files, or phone calls outside those platforms.
Does Fathom train AI on my meetings?
Fathom's help centre says its AI sub-processors are contractually barred from training on customer data. Its privacy policy separately says Fathom may use de-identified data from meeting content to train its own in-house models, and that you can opt out in account settings. If you record sensitive conversations, switching that setting off is a sensible step.
Is Fathom HIPAA compliant?
Fathom's help centre states it is HIPAA, SOC 2 Type II and GDPR compliant. Healthcare organisations should still confirm that a business associate agreement is in place for their account and check internal policies on recording patient conversations. This is a question for your compliance officer, and it is worth settling before any clinical call is recorded.
How is Fathom different from Fireflies or Otter?
Reviewers describe Fathom as simpler, with a more generous free plan and no AI credit system to manage. Rivals tend to offer more native integrations, more video platforms or the ability to upload recordings. If your meetings happen on Zoom, Meet or Teams and you want the best free option, Fathom is the usual pick; if you need wider coverage, compare the alternatives.
